How to Onboard Insurance Lead Referral Sources in 5 Minutes: A Step-by-Step Guide

Minute 0-1: Send the Invitation

From your agency dashboard, navigate to the Team tab and click "Invite Salesperson." Enter their name, email, and select which partner business they belong to. Click send.

The salesperson receives a branded email (with your agency's logo and colors if you've set up custom branding) containing a single call-to-action button: "Join [Your Agency Name]'s Referral Network."

Pro tip: Send invitations during business hours when the salesperson is at their desk. Evening invitations get buried in morning inbox clutter.

Minute 1-2: Account Creation

When the salesperson clicks the invitation link, they're taken to a simple account creation page. They sign in with their existing account or create a new one — it takes about 30 seconds.

No complex forms, no company information to fill out, no terms of service to read. The invitation already contains all the context needed to associate them with the correct partner and agency.

Minute 2-3: Dashboard Orientation

After signing in, the salesperson lands on their personal dashboard. It's intentionally minimal — showing only what they need:

  • Dashboard — overview of their referral activity and status
  • New Referral — the form to submit referrals
  • Leaderboard — see how they rank among other referrers
  • My Profile — basic account settings

There's no admin interface, no partner management, no settings to configure. The salesperson sees exactly what they need and nothing more.

Minute 3-4: First Referral

The New Referral form is designed for speed. The required fields are:

  • Customer's name
  • Customer's phone number
  • Insurance type needed

That's it. Optional fields (email, notes, urgency) are available but not required. A salesperson can submit a referral in under 30 seconds.

Immediately after submission, the salesperson sees a confirmation and the referral appears on their dashboard with a "Submitted" status. They know it worked, and they know you received it.

Minute 4-5: Confirmation and Next Steps

Within seconds of submission, three things happen:

  1. The salesperson gets an on-screen confirmation with the referral details
  2. Your agency team receives a notification (email, dashboard alert, or webhook — depending on your configuration)
  3. The referral enters your pipeline and appears on your agency dashboard

The salesperson's job is done. They can close the tab and go back to selling cars (or houses, or mortgages). When you update the referral status, they'll get a notification keeping them in the loop.

Scaling This Process

The beauty of this 5-minute flow is that it scales infinitely. Whether you're onboarding 1 salesperson or 100, the process is identical. Each person gets the same invitation, the same simple setup, and the same frictionless referral experience.

For bulk onboarding (like adding an entire dealership's sales team), you can send multiple invitations at once. Each salesperson goes through the same 5-minute flow independently.

"What if the salesperson isn't tech-savvy?"

The interface is designed for simplicity. If someone can use a smartphone, they can use Refrrd. We've tested with salespeople across all age groups and tech comfort levels.
